Refund & Cancellation Policy

This Refund & Cancellation Policy explains how refunds, cancellations, withdrawals, postponements, and related payment matters are handled for events offered through the Athletes Around website, mobile applications, and related services (collectively, the "Platform").

The Platform is operated by Athletes Around LLC ("Athletes Around," "we," "us," or "our").

This policy should be read together with the Athletes Around Terms of Service, Organizer Terms, and any refund policy displayed for a specific event.

1. Organizer-Selected Refund Policies

Unless Athletes Around expressly states otherwise, events available through the Platform are created and operated by independent Organizers.

Each Organizer may select or establish the refund policy applicable to their event from the options made available through Athletes Around.

The applicable refund policy will be displayed to participants before registration or payment.

Participants should review the event's refund policy carefully before completing registration.

By completing a paid registration, the participant acknowledges and agrees to the refund policy presented for that event.

2. Refund Policy at Time of Registration

The refund policy applicable when a participant completes registration generally governs that registration.

An Organizer may not retroactively replace an accepted refund policy with a more restrictive policy for an existing registration.

Athletes Around may maintain a record of the refund policy associated with a registration, including the policy version or terms presented when registration was completed.

3. Participant-Initiated Cancellations

If a participant or team chooses to withdraw from an event, refund eligibility is determined by the refund policy accepted for that registration.

Depending on the Organizer's selected policy, the registration may be:

  • Fully refundable
  • Partially refundable
  • Refundable until a specified deadline
  • Subject to another disclosed refund condition
  • Non-refundable

Choosing to withdraw from an event does not automatically create a right to a refund.

Participants should review the applicable event refund policy before submitting a cancellation or refund request.

4. Leaving an Event or Division

Where Platform functionality permits, participants or team representatives may be able to leave an event or division and request a refund.

Leaving an event or division and receiving a refund are separate actions.

A participant's removal from an event does not necessarily mean the registration qualifies for a refund.

Refund eligibility remains subject to the policy applicable to the registration.

5. Refund Requests

Where available, participants should submit refund requests through the Athletes Around registration or event interface.

A refund request may include:

  • Event
  • Registration
  • Participant or team
  • Amount paid
  • Reason for the request
  • Other information reasonably necessary to evaluate the request

Submitting a refund request does not guarantee that a refund will be approved.

The applicable Organizer refund policy determines normal eligibility.

6. Organizer Review

Because independent Organizers establish their event refund policies, the Organizer may be responsible for reviewing refund requests.

An Organizer may:

  • Approve the request
  • Partially approve the request where permitted
  • Deny the request when consistent with the applicable refund policy
  • Request additional information when reasonably necessary

Organizers must apply their stated refund policies honestly and consistently.

7. Organizer Cancellations

If an Organizer cancels an event and the event does not take place, affected paid registrations should generally be refunded unless another lawful arrangement has been clearly agreed to by the participant.

An Organizer may not use a "no refunds" policy to unfairly retain registration payments for an event the Organizer cancels without providing the promised event or an agreed substitute.

Athletes Around may take action when an Organizer fails to appropriately address payments following an event cancellation.

Such action may include restricting event creation, registrations, payouts, payment functionality, or the Organizer account.

8. Event Postponements

An event may occasionally be postponed because of circumstances such as:

  • Weather
  • Facility availability
  • Scheduling conflicts
  • Safety concerns
  • Government restrictions
  • Emergencies
  • Other circumstances

When an event is postponed rather than canceled, the Organizer should communicate the new event information to affected participants as soon as reasonably possible.

Refund eligibility following a postponement depends on the event's refund policy, applicable law, the nature of the change, and any additional options offered by the Organizer.

9. Material Event Changes

Organizers should notify participants of material changes to an event.

Examples may include a significant change to:

  • Date
  • Venue
  • Location
  • Event format
  • Division
  • Eligibility requirements
  • Other important registration terms

Depending on the circumstances, participants may be entitled to cancellation or refund options even when the ordinary event refund deadline has passed.

Athletes Around or the Organizer may evaluate these situations individually where appropriate.

11. Partial Event Completion

If an event begins but cannot be fully completed, refund eligibility may depend on:

  • How much of the event occurred
  • The Organizer's refund policy
  • Whether guaranteed games or services were provided
  • The reason the event ended
  • Costs already incurred by the Organizer
  • Applicable law

A partial event cancellation does not automatically guarantee either a full refund or no refund.

12. Registration Errors

Participants should contact support promptly if they believe they were:

  • Charged more than once
  • Charged an incorrect amount
  • Registered for the wrong event because of a Platform error
  • Charged despite receiving an unsuccessful registration confirmation
  • Otherwise affected by a payment or technical error

Verified duplicate or erroneous Platform charges may be corrected independently of an Organizer's ordinary refund policy.

13. Refund Processing

Approved refunds will generally be returned through the payment method or payment-processing system used for the original transaction.

Refund processing time depends on the applicable payment provider and the participant's financial institution.

Once a refund has been submitted to the payment provider, Athletes Around cannot guarantee when the participant's bank or card issuer will make the funds available.

14. Processing Fees

Third-party payment processors may charge fees associated with the original transaction, refunds, disputes, or other payment activity.

Whether processing fees are returned following a refund depends on the payment provider's policies and the applicable transaction.

Any non-refundable amount that will be retained from a participant's refund should be disclosed as required by applicable law.

15. Athletes Around Platform Fees

Athletes Around does not currently impose a Platform registration fee where none is displayed during checkout.

Athletes Around may introduce service, registration, transaction, or other Platform fees in the future.

If Athletes Around introduces such a fee, the applicable amount and any material refund conditions will be disclosed before the participant completes the transaction.

16. Event Credits

Organizers may offer event credit instead of or in addition to a monetary refund when permitted by the applicable refund policy and law.

Any material restrictions on an event credit should be disclosed, including:

  • Credit amount
  • Eligible events
  • Expiration date, if applicable
  • Transferability restrictions

Where applicable law requires a monetary refund, an Organizer may not avoid that obligation solely by offering event credit.

17. Free Events

There is no payment to refund for a free registration.

Participants should nevertheless cancel or withdraw when they know they will not attend so the Organizer can accurately manage event capacity.

18. Team Registrations

For team registrations, the person or account that completed and paid for the registration will generally be treated as the registration owner for refund purposes.

Individual roster members ordinarily may not independently request portions of a team registration payment unless the Platform or Organizer expressly permits it.

The applicable team registration refund policy controls eligibility.

19. Chargebacks and Payment Disputes

Participants should generally attempt to resolve legitimate refund concerns through the available Athletes Around and Organizer support processes before initiating a payment dispute.

Nothing in this policy eliminates any rights a consumer may have under applicable law or applicable card-network or financial-institution rules.

Athletes Around and Organizers may provide relevant transaction information in response to a chargeback or payment dispute, including:

  • Registration records
  • Event information
  • Refund policy acceptance
  • Communications
  • Refund records
  • Other information reasonably relevant to the transaction

Fraudulent or abusive chargebacks may result in account review or restrictions.

20. Organizer Obligations

Organizers agree to:

  • Clearly disclose their refund policy before registration
  • Honor the policy associated with existing registrations
  • Review legitimate refund requests
  • Accurately represent refund decisions
  • Communicate event cancellations and material changes
  • Cooperate with legitimate payment disputes
  • Comply with applicable consumer-protection laws

Repeated failure to honor valid refund obligations may result in restrictions on Organizer functionality or termination from Athletes Around.

21. Athletes Around's Role

Unless Athletes Around expressly operates an event itself, Athletes Around provides technology that allows independent Organizers to create events, accept registrations, establish refund policies, communicate with participants, and manage refunds.

Athletes Around does not ordinarily establish the refund eligibility rules for independently operated events.

However, Athletes Around may intervene when reasonably necessary to:

  • Correct a Platform or payment error
  • Address suspected fraud
  • Enforce Platform policies
  • Protect users
  • Respond to a payment dispute
  • Comply with payment-provider requirements
  • Comply with applicable law

Athletes Around's involvement in facilitating or processing a refund does not make Athletes Around the Organizer of the event.

22. Abuse of Refund Systems

Users may not misuse Athletes Around's refund functionality.

Prohibited conduct includes:

  • Knowingly submitting fraudulent refund claims
  • Falsifying cancellation circumstances
  • Manipulating registration records
  • Claiming a payment was unauthorized when the user knowingly authorized it
  • Repeatedly exploiting refund systems
  • Colluding with another user to commit payment fraud

Athletes Around may restrict accounts involved in suspected refund or payment fraud.

23. Account Suspension or Termination

Suspension or termination of an account does not automatically eliminate valid payment, refund, or event obligations that arose before the account was restricted.

Athletes Around may retain transaction and refund records as described in the Privacy Policy.

24. Applicable Law

Nothing in this Refund & Cancellation Policy limits rights or remedies that cannot lawfully be waived.

Where applicable law provides a participant with greater refund or cancellation rights than an event's stated policy, applicable law controls.

25. Changes to This Policy

Athletes Around may update this Refund & Cancellation Policy as the Platform evolves.

Material changes will apply prospectively as required by applicable law.

Changes to this Platform policy do not automatically replace the event-specific refund policy previously accepted for an existing registration.

The "Last Updated" date above identifies the most recent version.
